Which reports a fleet manager needs

More reports do not mean better decisions. A fleet manager needs few reports, clear and on time. This is a guide to get started.

Every day

  • Units that went out and units that did not.
  • Kilometers driven and stop times.
  • The day's alerts: leaving zones, speeding, important events.

Every week

  • Idling per unit.
  • Route and schedule compliance.
  • Comparison between drivers or between units.

Every month

  • Cost per kilometer or per hour of use.
  • Utilization: how much each unit is used compared with its capacity.
  • Maintenance done and pending.

Practical tips

  1. Start with three or four indicators, not thirty.
  2. Have the reports arrive on their own, by email, at the same time.
  3. Make them exportable so you can share them with whoever decides.
  4. Every quarter, check whether they are still useful and remove those nobody reads.
